Keeper of RECORDS AND SEAL

DKRS - District Website

  • Revised the District’s website based on the plan we had created when I was the District’s technology chair.
  • Saved the District thousands of dollars in fees and expenses related to the District’s website.

DKRS – General

  • Created the My Page section on the site where brothers would receive information that impacts them individually. Brothers are now able to easily update their contact information, see their current financial status at all levels and have a list of all of their payments in one place.

DKRS - Dues Payment

  • Made chapter KRS’s job easier by creating a web based dues payment system.
  • The DKRS’s job is much easier by storing these transactions in the District’s database and providing a bar code for easy processing once the form is received.
  • No one in the process has to type in any information and the DKRS only has to scan each document to update a brother’s payment in real time.
  • Collectively we were able to save hundreds of KRS man hours.
  • Brothers now have an accurate historical record of payments, all captured in a single database and available in real-time.

DKRS - Communications

  • Evaluated our current communications channels and made improvements.
  • Revamped the District’s email groups where he increased the amount of Brothers who had access to the Yahoo group and created new groups on a different technology that makes maintaining and changing dynamic lists easier.
  • The District now has specific mailing lists for each chapter officer and district appointment.
  • Created a messaging system that allows the District council to send text messages, post web notes, post to social media sites and send targeted emails from one common location.

DKRS - 79th Grand Conclave

  • Helped the 9th District achieve the highest delegate count at a Conclave outside of the 9th District ever.
  • Created an automated system that allowed each chapter to have the flexibility of assigning any chapter member as a delegate. This allowed the district to have more than 80% of its delegate strength which made the 9th the second largest behind the 7th District even though by numbers we were 4th at the time.
  • Utilized the District’s messaging system to keep brothers coordinated throughout the meeting.

DKRS - 78th District Meeting

  • Made all District meeting related items web accessible. The District has decided to move away from paper based forms and procedures.
  • Automated the meeting registration process. Brothers now have the option to print and mail in their registration form or register online. Brothers once again don’t have to type in any information just point and click. The payments are processed automatically once received by DKRS using the barcode system.
  • Used this same process for the souvenir book and vendor registrations.
  • Created a meeting page that gave brothers access to the following information:
  • Graph showing number of registered brothers,
  • Editable online agenda,
  • Live view of the current District Meeting registration list.
  • Automated the delegate section process by allowing chapter officers to select and modify delegates online. This process will lead to more chapters having delegates and eliminate confusion at the district meeting about the credentialing process.
